The type of personal information we collect

We currently collect and process the following information:

  • Personal identifiers, contacts and characteristics (for example, name and contact details)
  • Financial details (for example, bank details and GiftAid details)

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • to receive information about the work of Restored Hope Zambia UK
  • to make donations

Your information may be shared with us by third parties, for example:

  • if a friend or family member signs you up for one of our events;
  • independent event organisers, for example the London Marathon or fundraising sites like Just Giving, Facebook donations or Virgin Money Giving.

We use the information that you have given us in order to contact you with information about the work of Restored Hope Zambia UK and to process donations.

We may share this information with HMRC for the purposes of receiving your GiftAid.

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

(a) Your consent. You are able to remove your consent at any time. You can do this by contacting trustees@rhzuk.org.

Wherever possible we will ask for your explicit consent in order to contact you with updates about our work.  You have the right to withdraw this consent at any point.

(b) We have a legal obligation.

If the law requires us to, we may need to collect and process your data.

For example, where you sign up to the Gift Aid scheme, we will process your data for the purposes of submitting a Gift Aid claim to HMRC.

How we store your personal information

Your information is securely stored.

We will retain your personal identifiers, contacts, and characteristics until you tell us you no longer want to hear from us, or we become aware that these details are no longer accurate. We will then dispose of your information by deleting it from our mailing systems.

We will retain your financial details for at least seven years from your last donation to comply with HMRC regulations. We will then dispose of your information by deleting it from our financial systems.

Your data protection rights

Under data protection law, you have rights including:

Your right of access – You have the right to ask us for copies of your personal information.

Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.

Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.

Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
